Record stock moving between godowns properly

A tempo leaves the main godown with 50 cartons for the city branch. It will arrive tomorrow. Today, where is that stock? In many businesses it is in both places or neither, depending on who updated what. VERP keeps stock by location and records transfers between locations, so goods moving between godowns are tracked in the same system as sales and purchases.

Why transit stock causes confusion

Recording transfers in VERP

  1. Create the transfer when goods leave. The sending godown records a stock transfer in VERP as goods are loaded, listing items and quantities. Both locations' stock is affected by the transfer, so nobody has to remember to update the second register.
  2. Check on arrival. The receiving store keeper counts what arrived and compares it with the transfer. Ask the team how your setup handles confirming receipt at the destination. Counting on arrival, before goods go onto the shelves, is the only moment a shortage can be pinned to the trip rather than to the branch.
  3. Record breakage or shortage. If cartons are damaged or short, record an adjustment at the receiving location with a reason. Note the vehicle and driver. If the same route keeps showing breakage, the problem is packing or handling, and a change there costs far less than replacing goods every month.
  4. Avoid selling ahead of arrival. Branch staff should sell only what has physically arrived. Agree a clear rule for this. Selling ahead of arrival leads to promises the branch cannot keep when a tempo is delayed by a day, and the customer blames the branch, not the logistics.
  5. Review transfers weekly. Check location-wise reports for transfers in the week to catch any left incomplete. A transfer that was loaded but never confirmed usually means a count was skipped. Fix it the same week while people still remember the trip.

How VERP helps

Stock counted once

Transfers update stock by location, so the same cartons are not counted at both ends. Month-end figures are cleaner.

Branch knows what is coming

With transfers recorded, branch staff can see what has been sent to them and plan sales.

Losses explained

Breakage and shortages on the way are recorded with reasons and users, so they can be reviewed rather than vanishing.

Goods moving between godowns are still your stock. VERP records each transfer so every location stays accurate. See a transfer flow with your own godowns in a demo.
